Position Status: Part-time, Hourly, Seasonal, Non-Exempt

Reports to: Joe Crook, Director of Operations, Colwood Golf Center

Where You Will Work

Colwood Golf Center's 9-hole, par 3 golf course is uniquely designed and opened for play in April 2015. Each hole features two sets of tees to hit from, as well as large, undulating greens. This accommodates golfers of all skill levels and creates a fun golf experience. Located in Northeast Portland, minutes from PDX International Airport, downtown Portland, and Vancouver WA; Colwood Golf Center is a great venue for hosting golf outings, birthday parties, reunions, and weddings. In addition to the golf course, Colwood also offers an 18-hole footgolf course, driving range, and spacious clubhouse with large event space

What You Will Do

This position is responsible for assuring guest satisfaction through proper food and beverage service and presentation. They work closely with the Director of Operations to ensure strategic management of the liquor program and the rest of the front of house (FOH) operation. They also provide excellent service and a professional environment in the planning and execution of banquet events when assigned Event Coordinator on specific events.

  • Manage inventory and place orders for liquor and bar supplies to maintain optimal stock levels.
  • Create drink menus and specials in order to upsell and increase rotation of liquor stock.
  • Assist with monthly beverage inventory to track usage and manage costs
  • Work together with the Director of Operations when it comes to onboarding, training, and performance management for line level bartenders and event support staff.
  • Meet with the Event Sales Manager and the operations team regularly to discuss all event details.
  • Have a friendly and professional attitude when interacting with clients and their guests.
  • Uphold a positive work environment with managers and fellow employees.
  • Maintain the cleanliness and appearance of the facility before, during, and after events - including banquet rooms, bar areas, restrooms, etc.
  • Make sure that all equipment and banquet supplies are returned clean and in their proper place.
  • Ensure all operations comply with health and safety regulations and company policies.
  • Assure the efficient and timely submission of all required operational, financial, budgetary and related reports.
  • Perform other duties as appropriate

When assigned to an event as the Coordinator:
  • Introduce yourself and communicate to the event contact person throughout the event planning stage - including phone and email communication as needed.
  • Meet with clients to finalize event details prior to events (i.e. room layouts, table configuration, arrival times, etc.). Ensure all event details are discussed, documented, and communicated effectively to relevant parties.
  • Make sure that set-up and tear down of all banquet events is according to the BEO (Banquet Event Order).
  • Act as the facility contact the day of the event. Meet or exceed the event client and their guests expectations, within the confines of facility policies and procedures.
  • Check that event bartenders and support staff are on time and in proper uniform, document when expectations are not being met.
  • When applicable, have open communication with the Chef or Caterer regarding timing, or if any changes need to be made.
  • Operate the point-of-sale system with accuracy to ensure proper sales are captured throughout the event (i.e. bar sales, etc.). Ensure every event is rung up before the end of the event.
  • When necessary, present the final bill to the contact person at the end of the event, and accept payment. Give a copy to the contact and have a copy signed for our records.
  • Provide exceptional customer service to clients and guests, addressing any issues or concerns promptly.
  • At the conclusion of every event, update the OLCC incident log, as well as document any pertinent event details such as whether the event started on time, the bar preferences of the group, and any communication with the outside vendors.
  • Perform other duties as appropriate

Who You Are
  • 2 years of event operations and bartending experience required. Prior hospitality management experience is preferred.
  • Strong conflict management skills
  • Knowledge of health and safety regulations.
  • Demonstrated quality written, verbal, and interpersonal communication skills.
  • Ability to analyze and solve problems
  • Ability to efficiently handle multiple duties under pressure with minimal supervision
  • Ability to work flexible hours as required including nights/weekends.
  • Positive attitude, professional manner and appearance in all situations.

Must have the ability to:
  • Read and write (English)
  • Communicate verbally with staff members and/or customers with or without the use of two-way radios.
  • Give and/or follow verbal and written instructions
  • Visually inspect all work areas
  • Operate equipment for several hours at a time
  • Perform mathematical calculations involving fractions, decimals, and percentages
  • Retrieve, read and interpret information from technical sources
  • Stand, walk, push, pull, lift, grasp, bend and kneel for up to 8 hours at a time
  • Lift up to 50 lbs occasionally, 30 lbs frequently, and 20 lbs constantly
