Purpose (General description and summary):Coordinates various functions of the Human Resources Department encompassing but not limited to on-boarding and new hire processes, documentation, and employee relations. Works as a team member with and provides support to the Human Resources Dept. Is available and flexible in order to meet the requirements of the job. This position is essential to daily agency operations.

Accountabilities (Responsibilities of the job)

  • Facilitates and supports New Hire Orientation (NEO); operating as the primary facilitator
  • Responsible for the full cycle Onboarding process
  • Initiates self-onboarding, background checks, and other required onboarding tasks.
  • Supports candidates through the entire onboarding cycle.
  • Initiates DMV Checks and supports employees through the required process to clear them to drive for the Agency
  • Maintains a running list of cleared drivers and works cross functionally with Operations teamon driving eligibility
  • Initiates and supports all internal job/position transfers
  • Responsible for new position creation within Paycom
  • Respond to HR Tickets in a timely manner
  • Maintains personnel files and employee files
  • Assists new hires with registering and applying for their NPIs and/or updating NPI applications
  • Collects and maintains all new hire documentation
  • HRIS Management and entering new employee information in Paycom
  • Educate new employees HRIS initial log in and download of app to phone
  • Coordinates with others to create employee profiles in Credible, Relias, and Payroll
  • Verifies I-9 documentation and maintains I-9 files
  • Successfully transfer candidate relationships to the hiring manager after onboarding and/or NEO
  • Function as a resource to all new hires and their managers with questions and supply necessary resources needed to bring them on board successfully
  • Responsible for collecting and tracking training and/or pre-service training checklists
  • Responds to and processes verifications of employment and student loan forgiveness documents
  • Responsible for updating agency forms as needed
  • Assists with preparing for audits and legal matters
  • Attends seminars in order to remain up to date on employment laws and general HR/recruiting information
  • Responds to phone and email inquiries from internal and external customers in a timely manner
  • Composes letters and other correspondence as requested by the VP of Equity Culture and Talent
  • Conducts background checks and rechecks as needed for new hires and staffing changes
  • Bonus letter processing
  • Assists trainers during the on-boarding trainings
  • Completes on-boarding of interns and volunteers
  • Maintains documentation and tracks trainings for interns and volunteers
  • Processes QMHA/QMHP applications
  • Serves as subject matter expert for Relias training software, including:
  • Assisting all staff members with trouble shooting and navigation;
  • Creating new hire profiles;
  • Logging agency mandated trainings;
  • Collaborates with QI on training plan maintenance, assigning corrective actions, and compiling site review data.
  • Organizes quarterly CPR trainings for the agency.
  • Must maintain the highest level of discretion at all times when accessing highly confidential information; must abide by HIPAA regulations.
  • Completes all other tasks and assignments as requested by Director of Human Resources and VP of Culture, Equity, and Talent.

Education/Certificates/Licenses/Registration:
  • Minimum of two years in an HR with experience in full cycle recruiting, employee relations, and employment law is preferred.
  • Excellent written and verbal skills required.
  • Must be able to type by touch, compose business correspondence, and have a strong knowledge of word processing systems.
  • Ability to use a computer and other office technology, and learn new computer applications. Incumbent must have the ability to work with all levels of employees within the organization.
Education/Certificates/Licenses/Registration:
  • A valid driver's license and insurance.
  • A Bachelor's degree in related field and/or 2 or more years work experience.
