Job Title: Bilingual Receptionist & Attendance Secretary

Reports To: Vice President of Finance & Operations

Classification: Full Time, Hourly

De La Salle North Catholic High School (DLSNC) provides a faith-based, college-preparatory high school education to underserved students from the Portland area. Our goal is to develop tomorrow's community leaders by making high-quality education accessible to motivated young people in a learning environment that values cultural, spiritual, and ethnic diversity. Our educational approach provides each student with the opportunity to succeed through small classes, high expectations, and active participation in our Corporate Work Study program (CWS) affiliated with the nationally-recognized Cristo Rey Network.

POSITION SUMMARY

As the first face in the school that guests meet, the Receptionist & Attendance Secretary plays a pivotal role in ensuring our values for Respect for All Persons and Inclusive Community are felt by all visitors to the school. The Receptionist & Attendance Secretary reports to the Vice President of Finance & Operations and is responsible for performing professional front desk reception duties, and supporting both the Finance and Academic Departments in an administrative capacity. Key to the success of this role is building strong relationships with staff, faculty, and our students and parents.

ESSENTIAL JOB FUNCTIONS

Including, but not limited to:

Front Desk Responsibilities - 30%

  • Greet and welcome students, families, and all guests
  • Switchboard duties
  • Create a binder for sign-in/sign-out of guests and staff
  • Ensure visitor's ID is given and visible to all
  • Administer basic first aid to students in need
  • Email weekly announcements to all school staff, students, and faculty (ensure professional and consistent formatting is in place)
  • Receive and track all deliveries
  • Maintain and update front office PowerPoint TV Monitor presentation
  • Recite daily prayer at start of the school day
  • Must be able to speak and write fluently in Spanish in order to translate for faculty and staff as needed
  • Assist Admissions Department with family/student interviews
Attendance Secretary Responsibilities - 20%
  • Check in tardy students each morning, give tardy pass to class
  • Keep attendance records in PowerSchool updated each period
  • Complete absentee phone calls to parents on a daily basis, after 1st period attendance has been taken
  • Provide weekly attendance reports and meet weekly with the Vice Principal for Student Life
  • Write out and distribute "Reflection Notices" to students
  • Complete follow-up calls to students who reach Level 1 absentee concerns
Finance Assistance Responsibilities - 50%
  • Process Accounts Payable including: collecting approval for expenses, entering all AP in QuickBooks, preparing checks, collecting check signatures, mailing checks as appropriate.
  • Print and mail invoices/statements for tuition and Mealtime on a monthly basis
  • Perform monthly distribution and tracking of bus passes
  • Provide additional administrative support to the Finance department as needed
General Responsibilities
  • Develop personal and professional boundaries with the students
  • Call parents or emergency contact as needed
  • Connect students with appropriate campus resources
  • Train Front Desk aides when assigned
  • Participate in ongoing training from a variety of personnel
  • Other duties as assigned
KNOWLEDGE, SKILLS & ABILITIES
  • Fluent in spoken and written Spanish and English
  • Willingness to fully engage in the life of the school and community
  • Ability and enthusiasm to perform in a fast-paced environment with a substantial amount of distractions
  • Strong organizational and time management skills
  • Excellent communications skills as an information resource provider and liaison
  • Ability to cooperate as a team member with other school colleagues and administration
  • Demonstrated commitment to diversity, equity, and inclusion
  • Discretion and ability to maintain confidentiality where appropriate
  • Warm hospitality and customer service for all students, families, staff, and guests
ADA COMPLIANT LIST OF PHYSICAL REQUIREMENTS
  • Must be able to frequently remain in a stationary position
  • Must be able to move about Front Desk and Mail Room areas occasionally to access supplies, office machinery, etc.
  • Must be able to constantly operate a computer and other office productivity machinery, such as calculator, copy machine, printer, etc.
  • Must be able to occasionally move boxes or equipment weighing up to 30 lbs


ANNUAL SALARY AND BENEFITS

Salary DOE.
