Executive Assistant

We are seeking a highly organized and proactive Executive Assistant to support our executive leadership. This individual will manage schedules, facilitate communication, coordinate meetings, and handle a range of administrative tasks to ensure efficient operations at the executive level. The ideal candidate is detail-oriented, adaptable, and capable of handling confidential information with discretion.

Key Responsibilities:

  • Manage and maintain executive schedules, including meetings, appointments, travel arrangements, and itineraries
  • Screen and prioritize incoming emails, phone calls, and other communications
  • Prepare reports, presentations, memos, and other documents as needed
  • Coordinate internal and external meetings, including logistics, agendas, and minutes
  • Act as the point of contact between executives and internal/external stakeholders
  • Handle confidential and sensitive information with integrity and discretion
  • Assist with project management tasks and follow up on action items
  • Monitor and manage office-related administrative functions (if onsite)
  • Support personal tasks and errands, when necessary, to maximize executive efficiency

Qualifications:

  • Proven experience as an Executive Assistant, Personal Assistant, or similar administrative role
  • Excellent organizational and time-management skills
  • Strong verbal and written communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google Workspace
  • Ability to multitask and work under pressure in a fast-paced environment
  • Discretion and confidentiality are a must
  • Bachelor's degree preferred but not required

Preferred Skills:

  • Familiarity with tools such as Slack, Zoom, Trello, Asana, or CRM systems
  • Experience in a startup, corporate, or fast-paced business environment
  • Strong interpersonal skills and ability to work with diverse teams
