Position summary:

This ONSITE contract position exists to provide high quality office support for the administrative office of the program, including timely response to phone calls, effective communication with other team members, and multi-tasking of projects and responsibilities.

Job Responsibilities:
• Telecommunications: Provide outstanding customer service by triaging calls from patients and public and deliver appropriately to providers, nursing staff and scheduling staff and follow up as appropriate. Assist patients with questions regarding scheduling, services, and requests for materials.
• Program Assistance: Prepare Patient Packets and Handbooks for patients, track patient appointments in excel database to ensure all required appointments have been scheduled and completed, schedule appointments as needed, attend quarterly meetings and distribute notes after.
• Clinic Scheduling - Verify upcoming provider schedules are correct for attending, staffing, and out of office, identify cancelations or other 'holes' in schedules to be filled, schedule patients for the 'Next Steps Clinic' per RN and support clinic operations as requested.
• Educational Outreach assistance: assist in the preparation of upcoming educational events, for all events request grants and sponsorships from potential industry sponsors, preparing flyers, maintain registration lists in excel.
• Office maintenance and clerical duties: Assist Program Manager with check requests and filing, keep office areas clean and organized, submit general maintenance requests. Update website from clinical services. Other clerical duties: greet and announce visitors, sign for deliveries, sort mail, faxes, printed jobs, filing, copying, word processing as needed.
• Other projects as assigned: tasks from research coordinators, clinic nurse, and program manager.

Required Education and Experience:
• HS Diploma
• Six months of work experience in a medical office setting, including high volume direct patient contact OR one year of work experience in a high-volume direct public contact position OR successful completion of the PAS Trainee position.
• COVID-19 Vaccine (Facility Guideline): Required - No Exemptions
