Foundations First Northwest LLC is seeking a detail-oriented and proactive Part-Time Production Assistant to support daily operations and enhance communication between our office team and field crews. This role plays a key part in ensuring our projects run smoothly by managing communication, helping with documentation, and reducing the administrative burden on field leadership. Key Responsibilities

  • Communication & Scheduling
    • Manage and triage the shared company email inbox
    • Answer incoming calls, take messages, and route communication appropriately
    • Maintain accurate customer notes and updates in the CRM system
    • Support follow-up communication with customers via phone and email
  • Field & Project Support
    • Help reduce office-related workload for field supervisors
    • Assist with on-site coordination or field documentation as needed
    • Support new employee onboarding tasks and documentation
  • Documentation & Reporting
    • Organize and type notes from field visits, meetings, and customer interactions
    • Track inventory, log material deliveries, and prep material lists
    • Follow up with foremen on job costing, daily hours, and missing info
    • Prepare spreadsheets and assist with basic reporting in Excel
Qualifications
  • Excellent communication and writing skills
  • Highly organized and detail-focused
  • CRM system experience preferred
  • Familiarity with Microsoft Excel and standard office tools
  • Ability to handle multiple tasks and follow up consistently
  • Proactive mindset with a problem-solving approach
  • Background in construction or operations coordination is a plus but not required
