Position Summary

As a Client Services Associate, you will serve as the primary contact for patients, caregivers, referral sources, and commercial accounts. You will assist customers by providing information, addressing inquiries, and resolving complaints. In this role, you will also process and manage customer orders in an efficient and courteous manner, and investigate customer inquiries regarding shipments, products, deliveries, and other concerns.

Essential Responsibilities:

  • Maintain a deep understanding of all products and services offered
  • Familiarity with company policies, procedures, guidelines, and training programs
  • Utilize Brightree functions efficiently in daily tasks
  • Follow proper intake procedures and ensure insurance verification
  • Manage customer financial responsibilities regarding equipment rentals and purchases
  • Answer calls using a professional greeting and take accurate messages
  • Welcoming visitors and directing them to appropriate personnel
  • Distributing mail and monitoring incoming faxes
  • Process customer orders and update the system accurately and timely
  • Coordinate delivery and pickup times with customers and caregivers
  • Handle complaints with professionalism and efficacy
  • Audit delivery and pickup paperwork regularly for accuracy
  • Track rentals and automatic reorders as per company policy
  • Collaborate with healthcare professionals for necessary documentation
  • Ensure all patient information is up to date and secure
  • Participate in training programs to enhance your skills
  • Instruct customers on the proper and safe use of delivered equipment
  • Comply with all company policies and procedures
  • Work flexible hours as needed to meet company demands
  • Support operations at other company locations when required
  • Continuously seek to expand your knowledge relevant to your role

Position Qualifications:

  • High School Diploma or equivalent
  • Experience in a clerical or customer service environment
  • Knowledge of Microsoft Office (Word, Excel)
  • Proficient in general office skills (typing, filing, multitasking)
  • Strong communication and interpersonal skills, with the ability to make decisions independently
  • Experience with Medicare/Medicaid and insurance billing preferred

Continuing Education:

As designated by management, including company training sessions and relevant off-site programs.

FLSA Status: Non-Exempt
