As an Administrative Assistant, you'll join a collaborative team in Portland, Oregon supporting construction engineers, designers, and project managers as they deliver complex, large scale facility projects. You will provide essential administrative and logistical support that helps teams stay organized, connected, and focused on meeting client objectives. This role is well suited for a proactive, service-oriented professional who thrives in a fast-paced environment and enjoys supporting multiple stakeholders. In this role, you will:

  1. Schedule, coordinate, and support meetings (virtual and in person)
  2. Take, format, and distribute meeting notes and materials
  3. Interface effectively with coworkers and project teams both remotely and onsite
  4. Plan and support large and small meetings, trainings, and team events
  5. Manage data, files, and digital workflows
  6. Coordinate food orders and logistical needs for meetings
  7. Provide general administrative support and assist with ad hoc requests, as needed

Requirements:

  • High school diploma or GED
  • 3-5 years of administrative assistant experience
  • Strong organizational skills, initiative, and attention to detail
  • Ability to manage multiple priorities in a fast paced, dynamic environment
  • Excellent verbal and written communication skills
  • Proficiency with Microsoft Office tools, including Outlook, Word, Excel, and MS Teams
  • Strong digital organization skills for managing emails, tasks, and workflows
  • Comfort taking directions from multiple stakeholders and working collaboratively
  • Ability to lift up to 25 pounds, as needed

Ideally, you'll also have:

  • Experience working in a large or global enterprise environment
  • Familiarity with SharePoint, OneNote, and PowerPoint
  • At least 1 year of experience supporting engineering or construction teams
  • A strong customer service mindset and a passion for helping others
