Responsibilities
Essential Job Responsibilities (include but not limited to):
- Build and maintain relationships with both internal and external customers.
- Job Set up in ViewPoint. Scan originals to project file on server.
- Set up OCIP when required.
- Order Bond when required.
- Create file folders for file binders, complete with labels.
- Update Open job list with new project.
- Create SOV.
- Create and issue subcontracts. Scan originals to project file on server.
- Process subcontract invoices (post to ViewPoint, file copies in appropriate job file).
- Provide weekly report to Corporate Accounts Payable Manager regarding which subs to pay in the weekly check run.
- Create EWA change orders in ViewPoint.
- Set up EWA change orders, post in ViewPoint, update log, update SOV, file copies in appropriate job file.
- Process Owner change orders post in ViewPoint, update change order log, update SOV and file copy in job file).
- Manage Monthly billing. This includes (but not limited to) scheduling and distributing project list prior to meetings, (15th, 20th and 25th of each month) and E-mail and mail or update billing portals to submit invoices, lien waivers and backup (except those explicitly asking not to mail). File copies in appropriate job file.
- Monthly contract billing collections calls and/or emails.
- Responsible to manage retention schedule.
- Responsible to perform reconciling steps necessary to soft close projects once 100% billed.
- Ensure that documents are completed, accurate and in compliance with established procedures.
- Proactively anticipate problems and present solutions related to billing.
- Must respond to emails and phone calls in a timely manner.
- Attend staff meetings and department meetings as needed.
- Show ability to consistently recognize and deal with priorities. Complete all required work in a timely and accurate manner and ensure that all needed paperwork/filing is completed.
- Handle daily responsibilities and requests from Management.
- Understanding of and commitment to customer service and Snyders core values.
Qualifications
Education/Requirements:
- Two-year college education in business administration or other related field is desired, but not required.
- Equivalent work experience is acceptable in lieu of college education.
Skills/Knowledge/Abilities Required:
- Ability to be self-directed, work independently, self-motivate and be highly motivated.
- Excellent grammar and written/oral communication skills. Excellent research skills.
- Excellent computer skills including advanced knowledge of Microsoft Suite and ViewPoint.

Travel

Work Environment
This position operates the majority of the time in a typical office environment, spending time at a desk, typing at a computer, talking with people in person and on the phone, taking notes and using standard office equipment such as computers, phones, photocopiers and filing cabinets.
