Logistics Officer, Distribution & Compliance

Description:

The Logistics Officer - Distribution and Compliance contributes to the calling of Medical Teams International by coordinating with inbound and outbounds distribution of medical supplies at the Tigard Distribution Center (DC).This position works closely with other Distribution Center (DC) staff to ensure safe receipt, kitting, consolidation and loading of received medical supplies for national and international distribution.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Oversee warehouse operations to maintain efficient and safe workflows in partnership with the MHP team.
  • Lead, coordinate and manage international and domestic shipments, ensuring proper valuation, documentation, and compliance.
  • Expedite goods in collaboration with stakeholders to achieve timely and accurate delivery.
  • Manage inventory storage and maintain accurate records in IMS for audit purposes;
  • Coordinate monthly inventory reconciliation.
  • Contribute to, implement, and maintain, SOP's and process maps for MHP work areas to clearly define procedures.
  • Prepare and supervise loading and off-loading of medical health products for all shipments.
  • Execute procure-to-pay processes for warehouse supplies and equipment to ensure timely and cost-effective purchasing.
  • Operate and manage warehouse fleet (box truck, van, forklift) and equipment safely.
  • Liaise with Supply Chain, Volunteer Manager, and MSRO Program Manager to facilitate donor and partner shipments.
  • Support MSRO Program Manager with hand-carry and biohazard disposal programs and Medical Surplus Recovery initiatives.
  • Manage and maintain a portfolio of distribution partner organizations, including partner agreement reviews, end-user reporting and invoicing where relevant.
  • Cross-train staff and volunteers for multiple warehouse and logistics functions;
  • Support volunteer engagement and satisfaction
  • Implement sharps and trash management protocols to ensure compliance with OSHA and safety protocols in conjunction with Facilities Manager and other MHP staff and volunteers
  • Support Director, Logistics and Procurement and MHP team in delivering team, departmental and organizational tasks and contribute to organizational wide initiatives and task forces as required.
Other duties:
  • Support safeguarding of program participants and employees through promoting an environment of awareness and upholding the code of conduct provisions of Medical Teams Protection from Sexual Exploitation, Abuse & Harassment, Child & Vulnerable Adult protection, and harassment-free workplace policies. Incumbents will remain alert and responsive to any child and adult safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child and adult safeguarding policy and procedures, and conduct yourself in a manner consistent with the Safeguarding Code of Conduct and behavior expectations.
  • Utilize volunteers when appropriate
  • Other duties as assigned.
EDUCATION, LICENSES & CERTIFICATIONS

EDUCATION:

Required:
  • 4-year degree or equivalent Supply Chain or Warehousing experience. Professional experience in a relevant field may be substituted on a year-for-year basis. Use in JD's where technical training is not required to be qualified for the job.
Preferred:
  • 4-year degree or equivalent Supply Chain or Warehousing experience. Experience will be substituted on a year-for-year basis
LICENSURE:

Required:
  • Valid driver license, with a clean driving record
Preferred:
  • Forklift, Scissor Lift certificate
EXPERIENCE:

Required:
  • Minimum 3 years' warehouse experience, or equivalent
  • Minimum 3 years' expediting and supply chain experience
  • Experience in developing and delivering training materials
  • Supervisory experience and ability to assess and assign tasks
Preferred:
  • Experience in volunteer engagement, management, and training
  • Inventory reconciliation experience
  • Experience operating a forklift, scissor lift, pallet jack, and other warehouse equipment
KNOWLEDGE, SKILLS & ABILITIES

KNOWLEDGE:
  • Expediting and supply chain knowledge including execution of bills of lading and shipping scheduling
  • Knowledge of medical material handling, shipment preparation and expediting, operating in warehouse environments and inventory management
SKILLS:
  • Organizational skills including maintaining schedules and multiple tasks.
  • Strong interpersonal skills
  • Intermediate skills with Microsoft Office: Word, Excel, Outlook email and calendaring.
  • Intermediate skills with Internet, intranet, and Client Relations Management (CRM) software.
ABILITIES:

  • Detail oriented with an ability to maintain accurate records.
  • Ability to successfully pass a pre-employment drug test.
