Position Purpose:

The Veterinary Reception Coordinator plays a vital role in delivering outstanding customer service to our clients at the Vetco Total Care hospital. As the first point of contact, you will embody our mission and values. You'll foster a positive environment for both clients and pets.

Essential Job Functions:

This role requires the ability to perform the following duties:

  • Manage incoming calls and direct them appropriately.
  • Maintain the hospital's appointment calendar, scheduling and confirming appointments.
  • Welcome clients and their pets, addressing them by name, and notify the medical staff upon their arrival.
  • Assist in training new team members and share knowledge as needed.
  • Ensure the waiting area is clean and well-stocked.
  • Confirm appointments through clients' preferred communication channels.
  • Understand logistical aspects to support technical staff, especially during busy times.

Other Responsibilities:

Undertake additional tasks as assigned.

Supervision:

You will receive direct supervision from the Hospital Office Manager and the Hospital Leader on Duty.

Planning and Problem Solving:

Your role is critical for ensuring efficient daily operations and a superior experience for clients and patients. You will be responsible for optimizing hospital workflow and communicating effectively with clients, especially if wait times exceed expectations.

Your position is vital for enhancing the hospital's reputation through high-quality care and memorable experiences for clients and their pets.

Qualifications:

  • High school diploma required.
  • At least 1 year of experience in a veterinary or customer-facing role.
  • Excellent written and verbal communication skills.
  • Compassionate and professional demeanor under stress.
  • Strong telephone and computer skills.
  • A proactive team player eager to learn and adapt.
  • Preferred: Familiarity with a Practice Management System.

Work Environment:

This role will be performed at our Vetco Total Care veterinary hospital and may involve physical tasks such as lifting up to 30 pounds, standing for extended periods, and interacting directly with clients and pets.

Salary Range: $15.00 - $19.95 per hour.
