Senior Administrative Assistant (Contract – through August 31)

Who You'll Work With

This organization operates in a fast-paced, constantly evolving environment. Administrative professionals play a critical role in keeping teams aligned, efficient, and moving forward. They act as trusted partners and liaisons across functions and leadership levels, bringing strong problem-solving, organization, and communication skills to support team success.

In this role, you will provide direct support to:

  • Senior Director (primary support)
  • Additional Senior Directors as needed while providing coverage for other administrative team members

What You Bring

  • Bachelor's degree in business or a related field (or equivalent experience)
  • Minimum 3 years of administrative experience
  • Proven ability to support senior-level leaders in a fast-paced environment
  • Strong organizational, prioritization, and time management skills
  • Excellent written and verbal communication skills
  • Ability to handle sensitive and confidential information with discretion
  • Experience managing budgets, expenses, and purchase orders preferred
  • Proficiency in Microsoft Office (Outlook, PowerPoint, Word, Excel) and virtual meeting tools (Zoom, Teams)
  • Experience with presentation tools (PowerPoint, Keynote) required
  • Familiarity with AI tools (e.g., ChatGPT, Copilot) is a plus
  • Ability to occasionally work outside standard business hours

What You'll Work On

You will perform a wide range of administrative and operational tasks to support leaders and teams, including:

  • Complex Calendar Management: Coordinate meetings, resolve conflicts, and align schedules across multiple stakeholders
  • Travel Coordination: Arrange domestic and international travel, including itineraries and logistics
  • Meeting & Event Planning: Organize meetings, offsites, and team events (logistics, agendas, catering, budgets)
  • Expense & Budget Management: Prepare expense reports, track budgets, and manage purchase orders and invoices
  • Document & Presentation Development: Create, edit, and format documents, org charts, and high-quality presentations
  • Communications Support: Draft and manage internal communications on behalf of leadership
  • Workspace Coordination: Assist with team moves, space planning, and equipment needs
  • Project Support: Help track timelines, milestones, and deliverables across special projects
  • Team Culture & Engagement: Support team-building activities, meetings, and internal initiatives
  • Administrative Point of Contact: Serve as a go-to resource for team administrative needs
  • Cross-Team Support: Provide coverage for other leaders and administrative partners as needed
