Job Summary

Conferences Residential Assistants are integral to the daily management and operations of conferences at the University of Portland.

As a Conferences Residential Assistant, you will be responsible for desk-based guest services, as well as physically active conference operations, with the primary focus of providing guest-support to event attendees staying in the Residence Halls during even hours.
During desk shifts, you'll serve as the primary point of contact for guests, providing concierge-style support, handling inquiries, and liaising with campus partners for service fulfillment. You'll also manage key inventory and maintain conference information using systems such as Outlook, Airtable, and Teams. During operational shifts, you'll spend significant time moving-walking buildings to conduct room inspections, transporting linens across campus, unlocking doors, and managing inventory.

While these core responsibilities remain consistent throughout the summer, each day brings varying conditions: guest volumes, weather, service request types, and team configurations. Whether stationed at the desk or traversing campus, your availability and adaptability are essential.

*This position requires living on campus to provide key support for conference attendees staying in Residence Halls, with shifts prioritized for evening coverage.

Core Duties
  • Provide support for event and conference guests staying in the residence halls during evening hours.
  • Assist with residence hall setup and reset during semester transitions, including signage and inventory management.
  • Attend training sessions and weekly staff meetings.
  • Desk
    • Serve as primary point of contact, providing support to guests via phone, email, and in-person.
    • Manage and facilitate service requests by liaising with campus partners and coordinating with colleagues.
    • Manage conference access by pulling and returning keys and printing attendee information on ID cards.
    • Keep supervisors informed of relevant updates and guest concerns.
  • Operations
    • Conduct room condition reports before and after each conference, documenting damages or maintenance needs.
    • Sort laundry, assemble linen packets, fold blankets, deliver to rooms, and collect after checkout.
  • As Needed/Eligible
    • Utilize golf carts for campus transportation after completing driving training.
    • Stock conference desk materials and create/print directional signage
    • Exceptional circumstances only: wash, dry, and fold laundry; assemble or move bed furniture for guest accommodations.
Minimum Qualifications
  • Must be enrolled in classes for the 2026-27 academic year.
  • Must work at least 15 hours per week throughout all assigned camps/conferences.
  • Must be available for shifts between 8:30 AM - 8:30 PM, seven days a week, including Federal Holidays.
  • Must be able to complete tasks repetitively under varying conditions.

  • Adaptable, able to pivot quickly based on evolving priorities.
  • Organizational skills, attention to detail, and ability to manage multiple demands.

Physical Requirements
  • Work both desk-based shifts (sitting, computer tasks, phone use, handwriting, data organization) and physically active operational shifts (extensive walking, standing, and movement throughout your shift).
  • Work in varying conditions including air-conditioned office spaces and summer heat (outdoors and non-air-conditioned residence halls).
  • Regularly lift, carry, push, and pull objects weighing up to 30 pounds.
  • Perform repetitive activities including bending, twisting, reaching, and climbing stairs.
  • Manage stress from changing circumstances and time-sensitive, urgent matters.
