Function in the Job

Sedentary Work- Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
Job Function

  • Answer all incoming phone calls for branch
  • Sort and distribute mail daily
  • UPS and FedEx online processing and preparation
  • Scan 3rd party certs into ERP system
  • Billing for branch
  • Back up for billing function and helping create BOLs for shipping for other branches as needed
  • Match any invoices to sales orders
  • Mailings and promotional item processing for sales personnel
  • Print sales order audit report and review
  • Assist HR Generalist with miscellaneous material (wellness, etc.)
  • Assist branch employees with administrative needs as necessary
  • Act as back up for Shipping and Receiving Department as needed
  • General organization of office
  • Participates in the Safety Committee meetings for Portland location
  • Responsible for managing safety reporting requirements and reporting to the Plant Manager on a daily, monthly, quarterly, and annual bases.
  • Any miscellaneous tasks as needed
Required Skills
  • Computer Literate; Basic use of Excel, Word, and Outlook.
  • Strong communication skills (both verbal and written)
  • Detail oriented
  • Excellent math skills
  • Ability to perform multiple tasks.
  • Ability to answer calls promptly and professionally every time.
  • Ability to tactfully deal with customers, internal Sales Representatives, coworkers and vendors.
  • Ability to navigate ERP system.
  • Must fill in answering main phones during some lunch periods, or as needed, using the main switchboard to handle incoming calls.
