Event Project Manager

Description:

We are partnering with our Portland, OR technology client to recruit an Event Project Manager to join their team on an ongoing, part-time contract basis, hybrid on the west side. In this role, you will serve as a supplemental resource to the internal events team, who focus on employee engagement and incentive trips, along with internal meetings and kick-offs. You will be responsible for owning vendor relationships, timelines, budgets and RFP processes for the team, with an emphasis on driving cohesion, communication and smooth events experiences. You will directly support the team's global function, aiding in everything from scouting and contracting with venues, optimizing registration software pages and tracking responses, aligning budgets with vendors and similar. You will also tackle administrative and logistics tasks, as needed, working with onsite teams to handle logistics and shipping, handling scheduling, executive calendars, travel arrangements and similar. To be a fit, you should bring 3+ years of project management and/or event coordination experience, with the ideal fit bringing experience in events project management or coordination.

Uniquely, this opportunity will fluctuate on weekly hours depending on the events calendar, but during this project, you can expect a minimum of 15 hours per week, with busy season being closer to 40 hours weekly.

This is a small team within a large brand, so you will get to touch on a variety of projects and events with global reach and big budgets! This is a W2 contract with payroll through LHH, and weekly hours will vary from 15+ to 40, with potential for overtime during event weeks. This role will require travel to up to five annual events, with most trips being domestic aside from one international annual event. Pay ranges from $40 to $50 an hour, based on level of experience, technical aptitude and project management skill. As a part-time LHH contractor, you will be eligible for accruing sick time and 401(K) benefits. This is a hybrid opportunity, with most of this work able to be done remotely aside from meetings and logistics projects, which will require commutability to the west side. This team is looking for a long-term contractor on this schedule, so this is a great opportunity for those seeking part-time work or supplementing other part-time projects, with flexibility for busy weeks and travel. This work will be done during traditional PST work hours, so this role will not be a good fit for those looking for work to supplement a full-time position.

You will:

  • Support a small global events team focused on internal event planning for employee engagement, corporate meeting and incentive trips
  • Drive event execution and timelines forward, keeping teams, vendors and attendees aligned and engaged
  • Track deliverables, communicating across the organization and with external partners to maintain deadlines and expectations
  • Aid in logistics support from the brand's Portland office, assembling boxes, ensuring logistics timelines, and providing hands-on, onsite support to get materials to events
  • Attend domestic and international events, meetings and similar to drive smooth, engaging event experiences
  • Support travel arrangements, communication with executives and cross-functional teams, post-event tracking and similar tasks, as needed

Your experience should include:

  • 3+ years of event coordination, project management and/or similar work, with a strong preference for project management experience within the event or meeting planning space
  • Expertise in project management tools (Asana, Smartsheet, etc.) and event platforms (ideally Cvent or similar)
  • In-depth experience managing timelines, budgets and vendors, with experience overseeing RFP processes, vendor negotiations and onboarding, and calendar planning
  • Track record of vendor management, cross-functional collaboration and communication with executive teams to drive cohesion, communication and clarity
  • Availability to travel up to 15% in the US and occasionally abroad
