What are we looking for?

GPA is currently seeking an Administrative Assistant with Bookkeeping Experience to join our team and support our rapid growth.

This is an opportunity to join a small but thriving advisory business with a sterling reputation.

You will be responsible for handling administrative responsibilities to support our firm's Executives in ensuring the business runs efficiently and important tasks are completed accurately and on time.

We are seeking candidates who have previous Administrative Assistant and Bookkeeping experience, specifically with QuickBooks online.

This role is a 1099 Contract position that we are adding to help grow our current administrative support by shifting responsibilities currently handled by Executives. The role will be hybrid - both in office and remote - and we anticipate the chosen candidate working ~15-20 hours a week, with the opportunity to grow the hours and responsibilities if earned.

Key Functions and Responsibilities

-Client invoicing: creating and sending recurring invoices, answering client invoice questions

-Taxes and Licenses: managing quarterly tax payments, researching business licensing requirements for new clients, maintaining business licenses for existing clients.

-Vendor Management: maintaining vendor contracts and records, completing invoice payments, managing vendor correspondence

-Schedule Management: managing the annual schedule of business tasks, reporting on status and ensuring completion

-Supplies and Purchasing: handling the purchasing of office supplies and groceries

-Proactive Communication:

-Miscellaneous Tasks: help ensure the office and business run smoothly and efficiently by handling miscellaneous tasks you are assigned

-QuickBooks reconciliation: reconcile invoice payments from clients, tax and business license payments, and vendor invoice payments.

Noteyou will not be doing full bookkeeping work, but if the chosen applicant desires, we are open to expanding the scope of the role to full bookkeeping duties and other responsibilities based on the employee's results.

Qualifications:

5+ years work experience as an administrative assistant and/or bookkeeper

Excellent organization, attention to detail, written and verbal communication skills. Possesses the ability to summarize data and information clearly and succinctly

-Self-motivated, driven, and flexible to manage shifting priorities, with the ability to think and act strategically

Possesses a positive, solution-oriented attitude. Sees problems as opportunities to find solutions and improve processes

Demonstrates unwavering integrity and instills confidence in others

Strong working knowledge of QuickBooks, Salesforce, MS Office applications and other related technologies
