Ultra Physical Therapy & Hand Center is a specialty outpatient practice in Beaverton, OR seeking an experienced Front Desk Coordinator to join our team immediately. About the role You will be the first point of contact for our patients and a critical part of how our clinic runs day to day. We need someone who is confident managing a high-volume schedule, communicates proactively with patients and providers, and keeps things moving without missing a beat. What you'll do • Own the daily schedule — managing appointments, cancellations, waitlists, and provider availability across our patient base • Greet patients warmly, share insurance eligibility, and collect co-pays at check-in • Coordinate eligibility, authorizations and communicate with payers as needed • Maintain accurate patient records in our EMR system • Handle incoming calls, messages, and faxes efficiently • Support clinical staff with daily tasks as needed What we're looking for • 2+ years of front desk or medical administrative experience, ideally in an outpatient or rehabilitation setting • Demonstrated experience in complex scheduling (multi-provider, multi-room, or specialty clinic preferred) • Experience with Prompt EMR is highly desirable • Strong communication skills — professional, warm, and clear with patients and staff alike • Comfortable with insurance workflows (eligibility checks, auth tracking, co-pay collection) • Reliable, detail-oriented, and able to stay calm under pressure Compensation & schedule • Competitive hourly rate, commensurate with experience • Part-time position with consistent hours (25-35 hours) • Supportive, collegial team environment To apply Please submit your resume and a brief note describing your scheduling experience and any EMR systems you've worked with.
