Position Overview:

We're hiring a confident, people-savvy Executive Assistant to support one of our top financial professionals and an owner of the company. This is not your average "assistant" role—this is a dynamic, full-time hybrid position that blends executive support, client relationship management, and event coordination. You'll serve as the trusted right hand of a high-performing advisor and play a key role in delivering a first-class client experience.

Key Responsibilities:

  • Manage the advisor's calendar, coordinate meetings, and schedule client appointments with clarity and efficiency
  • Serve as the first point of contact for prospects and clients—by phone, email, and in person—with professionalism, warmth, and confidence
  • Make proactive outbound calls to schedule client meetings and follow up on inquiries or leads
  • Oversee client communication and maintain strong, long-term relationships
  • Be comfortable working in a robust CRM system
  • Manage client data and workflows through CRM software, and ensure all CRM entries are thorough and error-free
  • Organize registration and logistics for quarterly client workshops.
  • Handel all new business processing
  • Provide in-person event support (approximately four workshop series per year) and assist with planning and execution. Workshops usually consist of 4-5 classes each quarter - with four of those being in the evenings from 6:30pm-9:30pm. One Saturday (day class) each quarter. This is on average and is subject to change.
  • Coordinate with internal team members to ensure smooth progression of client cases
  • Handle day-to-day administrative tasks to support seamless office operations
