Are you organized, energetic, and the kind of person who can keep an office running smoothly while making everyone's day a little better? We're looking for an Office Coordinator to be the heartbeat of our branch—welcoming guests, keeping operations on track, and helping create a positive, upbeat workplace.

What You'll Do

Be the Face of the Branch

  • Serve as the first point of contact by greeting visitors and answering the main phone line with professionalism and warmth.

Keep the Team Connected

  • Lead branch communications, make announcements, and help set a positive tone for company morale.

Run a Smooth Office Operation

  • Open and close the office each day.
  • Maintain office equipment.
  • Order and stock breakroom snacks and office supplies.

Support Payroll & HR Processes

  • Partner with the internal payroll team to print and distribute paychecks for over 150 clients, following each client's preferred delivery or pickup method.
  • Work with the internal human resources team to collect and distribute new hire paperwork for client employees.
  • Run background checks and administer drug screens.

Coordinate Fun & Memorable Events

  • Plan several small events each month, including venue coordination, catering, and invite/RSVP management.

Handle Important Documentation

  • Create, issue, and distribute Workers' Compensation letters of self-insurance for all client jobs.
  • Complete employment verifications for client employees as requested by outside organizations.

Bring Creativity to the Brand

  • Manage the branch LinkedIn and Facebook pages.
  • Post event photos and create graphics for marketing content.

Stay Organized Behind the Scenes

  • Maintain databases including contact lists, client information, and task-related spreadsheets.

Pitch In Where Needed

  • Take on seasonal duties and additional tasks assigned by management.

Required Skills

  • Strong attention to detail

  • Ability to multitask and shift priorities quickly
  • Strong customer service skills
  • Professional phone and email etiquette

Preferred Skills

  • Experience with Microsoft Outlook, Teams, Excel, and Word
  • Strong technology skills
  • Familiarity with employment laws and/or payroll processing
