In this vital role, you will oversee the intake, tracking, documentation, and coordination of vehicles as they move through the reconditioning process. Job Responsibilities
As a Logistics and Coordination Specialist, you will be responsible for coordinating vehicle intake and maintaining accurate records throughout the reconditioning process.
Key responsibilities include:
- Receive and inspect all incoming vehicles arriving at the Reconditioning Center
- Verify the originating dealership location in vAuto.
- Review CARFAX reports to identify salvaged or reconstructed vehicles
- Print and attach Buyer's Guides when missing
- Enter vehicles into KeyTrak and apply appropriate inventory tags
- Create and maintain records within Rapid Recon
- Update the DAA inventory spreadsheet by changing vehicle status from "Dispatched to Recon" to "At Recon" and recording the actual date received
- Maintain and update arbitration logs with accurate receipt and processing dates
- Communicate daily with Toyota and Mazda dealership teams regarding completed frontline vehicles
- Ensure vehicle information is accurate and up to date across multiple inventory management systems
- Coordinate with dealership and reconditioning personnel to support efficient vehicle processing and workflow
- Maintain organized records and documentation while meeting quality and accuracy standards

Qualifications
Logistics and Coordination Specialist Qualifications
- Previous experience in automotive operations, inventory management, logistics, dealership administration, or a related field preferred
- Strong organizational and time-management skills
- Exceptional attention to detail and accuracy
- Ability to handle multiple tasks and competing priorities in a fast-paced environment
- Experience with dealership software such as vAuto, Rapid Recon, KeyTrak, or similar systems is a plus
- Proficiency in Microsoft Excel and Outlook
- Strong written and verbal communication skills
- Ability to work independently and collaboratively with multiple departments
- Dependable, professional, and committed to providing high-quality work
Corporate requirements: Must be 18 years or older with a valid driver's license and clean driving record, able to pass a criminal background check and pre-employment drug screen.
