The Hotel Manapany is now looking for its future Assistant Reception Manager on a permanent contract!
MAIN TASKS
As an assistant reception manager, you will play a key role in the daily management of the hotel reception operations. You will assist the reception manager in supervising the reception team and will be responsible for ensuring exceptional customer service, coordinating reservations, managing guest arrivals and departures, and handling requests and complaints.
RESPONSIBILITIES
1. MANAGEMENT
- Assist the reception manager in supervising the reception – conciergerie, valet parking, and spa teams as well as the daily operations of the front office.
- Participate in the development and implementation of reception policies and procedures.
- Follow up on daily, weekly, and monthly records of the teams with the reception manager.
- Assist in daily and monthly closing.
2. CLIENT FILE
- Ensure the coordination and assignment of teams regarding guest arrivals and departures, as well as related administrative tasks.
- Inform guests about the services available, the activities offered in the establishment, and motivate the upselling of sales points.
- Provide accurate information on schedules, routes, local attractions, and restaurants.
- Respond to requests for information, additional service requests, and specific guest needs.
- Verify the follow-up of client information and the correct execution of their request.
3. INTERDEPARTMENTAL COORDINATION
- Collaborate closely with other hotel departments, such as room service, reservations department, and management, to ensure smooth communication and effective coordination of operations.
- Ensure daily briefings and verification of information transmissions (handover, instruction booklet, client cardex).
4. ADMINISTRATIVE TASKS
- Development of weekly schedules and follow-up of attendance sheets.
- Spa management: manage the spa team, coordinate appointment taking and client billing.
- Reservations management: manage the reservation email box on weekends and organize group reservations (function sheet - follow-up invoicing).
- Assist in the preparation of monthly closing and daily cash control.
- Check the cleanliness and organization of the lobby, back office, luggage room, and spa.
