Administrative Assistant

To facilitate the educational process with students, parents, and staff by effectively and confidentially performing secretarial, clerical, and office management tasks.

Essential Job Functions:

  1. Greets and assists students, families, staff, visitors, and community members in a welcoming, professional, and service-oriented manner.
  2. Serves as a primary school receptionist, responding to inquiries and using independent judgment to determine appropriate actions, referrals, and follow-up.
  3. Arranges classroom and staff coverage and coordinates substitutes as needed.
  4. Maintains working knowledge of District policies, procedures, and regulations related to assigned areas of responsibility.
  5. Manages purchase order processes through the School ERP system, as requested or required, for District general funds and Riverdale Grade School Student Body funds.
  6. Manages the Synergy Student Information System for grades K–8, including user setup, student scheduling, calendar maintenance, course entry, state course coding, and basic technical assistance.
  7. Uploads, maintains, and organizes student records and documentation in Synergy, including report cards, assessment information, and other required records.
  8. Supports District and school personnel with required Oregon state reporting, data collection, verification, and submission.
  9. Requests, processes, transfers, and maintains student records, ensuring the accuracy, confidentiality, and archival integrity of legal educational records.
  10. Maintains and verifies daily student attendance records in Synergy and supports attendance-related communication and follow-up as needed.
  11. Maintains the Riverdale Grade School master calendar, including adding and coordinating approved school events and activities.
  12. Processes student enrollment and registration, ensuring required documentation—including immunization records, residency documentation, and birth certificates– is complete, accurate, and compliant with applicable requirements.
  13. Records state assessment results in Synergy and maintains required documentation related to parent/guardian opt-outs from state testing.
  14. Collects, safeguards, records, and distributes Student Body funds in accordance with Board policy, state and local regulations, and established accounting practices.
  15. Collects, safeguards, records, and distributes student fees, athletic fees, field study funds, and other school-related payments in accordance with applicable policies, regulations, and accounting practices.
  16. Provides basic first aid to students with minor injuries and contacts parents/guardians as appropriate and in accordance with school procedures.
  17. Schedules parent-teacher, parent-administrator, and other school conferences and meetings as requested.
  18. Provides administrative and clerical support to the Principal and Administrative Team, including correspondence, document preparation, copying, ordering, mailing, filing, scheduling, and related tasks.
  19. Supports the Building Principal with school and family communications, including preparing and distributing information as requested.
  20. Receives, sorts, and distributes mail, packages, deliveries, and school supplies.
  21. Provides appropriate supervision and support for students who are in the school office.
  22. Maintains confidentiality of student, family, personnel, and school information in accordance with District policy and applicable state and federal requirements.
  23. Works collaboratively with students, families, staff, administrators, and community members and contributes to a welcoming, responsive, and professional school environment.
  24. Performs other duties as assigned by the Grade School Principal.

Additional Job Functions:

  1. Attends staff meetings and serves on staff committees as required (i.e., Site Council, Safety Committee, Leadership Team, and the like).
  2. Maintains professional competence through participation in District-provided in-service activities and/or self-selected professional growth activities related to job responsibilities.
  3. CPR/First aid certification for coverage of health room student issues.

Occupational Requirements:

  1. FBI Fingerprint clearance required.
  2. Required health training: Valid First Aid/CPR-AED cards, bloodborne pathogen, and EpiPen training.
  3. Genuine enjoyment of working with students in a school setting.
  4. Outstanding communication skills—both oral and written—which are effective across a wide variety of audiences, including students, parents, and staff.
  5. Respects workplace confidentiality and maintains professional office conduct.
  6. Technical competencies, including word processing, spreadsheets, email, and the like.

Education/Vocational Preparation:

  1. College degree or extensive administrative assistant experience preferred.
  2. Experience working in a school setting is preferred.
  3. Experience working with Synergy Student Information System preferred.
  4. Experience working with the Google Suite preferred.

Physical Requirements:

Moderate degree of physical stamina with occasional lifting of 10 to 50 pounds. Ability to move freely to various locations within the classroom and other supervisory settings (cafeteria/playground). Frequent standing, walking, sitting, and bending. Frequent repetitive activities, including hands, arms, and legs, for clerical-related work. Exposure to noise and activity in a school setting. Exposure to outdoor weather conditions.

Terms of Employment:

The School Board will approve salary and fringe benefits annually.
