About this position

This position will be offered a hybrid schedule - an opportunity to work remotely up to two days a week, in addition to work in the office. Additional remote work may be available – strong communication and flexibility on a weekly basis will be important.

We are looking for an experienced executive assistant who is ready for a role on a fun, innovative, and energetic team who focus on supporting and maximizing OSU’s innovation impact. The successful candidate will provide executive level support to the Associate Vice President for Research, Innovation, and Economic Impact.

Seeking someone that can effectively maintain a dynamic and complex schedule of activities and meetings with a confident and positive attitude, can work independently, deal with ambiguity, can build strong relationships with colleagues across campus, and expects to deliver while acting as a representative of the AVP and the Advantage Office. Excellent communications skills, the ability to prioritize effectively, and handle multiple time-critical tasks simultaneously are important. This role requires complex calendaring skills, operational excellence, and an effective use of data and software systems.

Core responsibilities

  • Proactively manage the Associate Vice President’s calendar and meeting schedule to accommodate shifting priorities
  • Prepare materials for meetings and take meeting notes
  • Support travel and submit expense reimbursements on a regular basis to ensure accurate and timely reporting
  • Act a liaison with internal and external individuals and groups
  • Secure meetings rooms, support the physical setup of rooms and equipment as needed, including act as the lead for special office events
  • Prepare documents and obtain signatures, and provide detailed and stylistic reviews and improvements of key documents and presentations
  • Conduct research for and support the preparation of recurring and non-recurring reports
  • Act as a backup as needed for other EA’s in the Research Office

Essential qualifications

  • Five (5) years of experience providing advanced administrative support to an administrator or senior leadership position
  • Ability to create and maintain complex scheduling
  • Excellent interpersonal, written, and verbal communication skills
  • Demonstrable experience working independently, being self-directed, making decisions, using appropriate judgment, anticipating needs, and functioning effectively in a business environment
  • Demonstrated ability to work in a fast-paced, dynamic, and diverse team environment
  • Demonstrable organization and problem-solving skills
  • Ability to maintain confidentiality with sensitive information and materials
  • Proficiency with the MS Office
  • A demonstrable commitment to promoting and enhancing diversity
